Feature Request: Allow archiving projects

We intend to use projects for sprints and they are short lived (2-weeks).  We also have multiple teams using them so there will be many.  Is it possible to archive projects so their documents are not deleted, but they don't show up in the project drop down when you're creating a new document?

Hello Noah,

 

There are plans for Project Improvements in 2.1, and one of which is the ability to archive projects that are finished. The feature proposed will remove "finished" or "completed" projects from the users list of "My Projects". So the projects would still be included in Clearspace, only they wouldn't show up for each members projects list.

I know it didn't make it into the most recent version, but can we expect Project Archiving in the next release?

Dave,

Unfortunately the Project isn't currently on the roadmap for the next feature release of Clearspace (3.0).

 

The official feature request has been filed under ticket CS-9231 and it is currently a candidate for Clearspace 3.5.

Hi Long

 

Will you as well offer the functionality to archive projects outside of Clearspace, maybe with an interface to EMC Documentum? This would help to avoid the environment just growing over time.

Wolfgang,

Could you clarify on this? Clearspace doesn't generally interface with external applications out-of-the-box, I suspect a customization is required to achieve what you're trying to do.

What is the standard procedure you propose to clean-up Clearspace by "deleting" no longer used groups and communities? Will they just be deleted or is there a way to archive them in some way outside of Clearspace, eg. pdf files of all documents in a file share?

There's really no standard procedure for cleaning-up/deleting unused Groups/Communities (unlike threads which can automatically be archieved/locked), they need to be manually cleared by a community manager.

 

Content that is deleted aren't archieved, they're permanently deleted. Outside of discussions, there is no archieving for projects/communities/groups yet so there isn't a spec for how they're to be handled yet.

If it is not in 3.0 and may be in 3.5, can we get any sort of confirmation?

 

I see the ability to have closure on project, yet keep them available to build history (and maybe ISO requirements), critical to our requirements.

Are there any updates to this feature request CS-9231?

 

"Projects" are just not useable unless you can "complete" and move them to an archive. "Deleting" all the work is taking away from the objective of a community pool of knowledge.

Posting this on behalf of one our teams that heavily uses projects. Here's what they would like to see:

Add a “Completed” checkbox to the “Project Status” tool that features the speedometer looking gauge and build out the “Projects” widget available in a wiki Space’s “Overview” to allow it to display either projects that are completed, projects that are not completed or all projects. It would be helpful if two of these widgets could be placed in the Overview so that we can see one “Active Projects” widget with a “View All Active Projects” link and a second “Completed Projects” widget with a “View All Completed Projects” link.

 

We’d be overjoyed if these changes could happen as we will be at a point by late September where our ability to effectively use the current widgets will be dramatically depleted.

Anyone listening at Jive? This feature request has been outstanding for a reaaaaaaally long time!

According to the Feature Request status, this is slated to be implemented in the next feature release (4.0).
