Control access permissions within a project

Our project managers need the ability to control access within a project that is attached to a space.

Use case: While the overall space that projects are attached to is wide open for project visability, there is a need to limit access to the project documents area in two ways.

  1. Only the project team can view the detailed project documents
  2. Only the PM can decide who can update those documents.

 

The admin console only gives us control over documents at the space level as far as I can tell. Is there a way to do this that we are overlooking.

 

The result of not being able to do this forces a seperate subspace for each project and does not a dashboard of all projects on one page.  (we can do it and it is a great way to offer a quick look to stakeholders on how multiple projects are progressing but only if we sacrafice permissions control of project documents.)

 

Please let me know if I'm overlooking something or if this is a feature request for projects.

Wally,

You're not overlooking anything, Projects indeed do inherit permissions from the community in which they reside. So unfortunately, if you would like to vary permissions for creating/updating documents on a per project basis, you'll need to create the projects in a subcommunity with these permissions sets.

 

If you'd like, we could create some internal discussion about this with our developers/product team and a feature request for this... I can definitely see where project permissions would be useful.

Hi,

I'd like to add to this - the problem is more generic: in order to enable good, flexible control, Clearspace should enable access control for all of its objects.

for example: a Milestone in a project should be an object, to which you can assign various permission levels to different users

the same goes with Task

The fact that even Projects inherit permissions from the space is a real drawback:

A simple scenario which can't be done now in CS (please correct me if I'm wrong) - we have a space, which has several projects.

For each project I'd like to have a different owner (who can set milestones, etc). Currently in CS - I'd need to give all these project leads edit permissions for the space, which means they can edit projects they don't own

Thanks for your input, Jive loves hearing feedback from the users. If you could elaborate on a couple of the items you mentioned:

  • Milestones/checkpoints as objects, would you like this to be more similar to the other content types such as documents/tasks with owners associated with it?
  • Permissions for Milestones/Tasks , what kind of permissions did you have in mind?

 

Sounds like Projects would benefit from being more similar to Social Groups, where there are owners and members with pre-configured permissions.

 

 

The abilty to add a project dashboard of all projects on any page would be a small but helpful step in this direction.

Wally, could you elaborate on this as well, wasn't quite clear on what you meant by "ability to add a project dashboard".

Hey Wally,

Sorry for the delay. I'm still not quite clear on this Project Dashboard, how would this differ from the current Projects Widget in Spaces? The current widget lists the projects in the current space along with it's status, it sounds like you want something similar to this except recursive (includes sub-communities) and the ability to select a different space(s) to list.

Hey Wally,

Hopefully this is similar to what you're describing, in Clearspace 3.0 (set to release middle of next week) there's a new widget called the Places widget. You can set it to display only the "places" you're following, e.g. spaces, projects, groups (and filter it by type) ... and mousing over a project for example will display the status of that project:

That would probably work. Could I rename it to something like, "Project

Dashboard" and only include projects in the Places Widget?

You can rename it to the Project's Dashboard, alternatively you could just use the "Your Projects" widget instead at this point (will only display the projects you're following):

Can I limited to the top 6 of the 10 projects I have access to in my widget?

Unfortuantely they'll display all the projects you're following and aren't configurable at the moment.

Hi Long,

 

there might be an easier way to solve this problem:

 

1) Tasks should be introduced to groups and spaces.

2) All other issues can be solved with the normal functionallity of CS.

3) It might be usefull to handle tasks like blogs: They should be switched on/off in admin or options.

 

CS would become even more flexible.

 

We have the same problem and this funtionallity whould we realy helpful for us.

Items such as the ones you've listed are the type of enchancements Jive will be addressing in the feature release following Clearspace 3.0 (expanding on features that are currently available in certain areas or aspects of clearspace).
